Choosing the right AV partner for your association’s annual meeting is one of the most consequential decisions a meeting planner makes each cycle. The right company elevates your event. The wrong one creates crises on the general session floor. Here is what to look for — and what to avoid.
1. Look for CTS Certification
The Certified Technology Specialist (CTS) credential, issued by AVIXA (the Audiovisual and Integrated Experience Association), is the gold standard for AV professionals. CTS-certified technicians have demonstrated competency in AV system design, installation, and operation across complex event environments.
For association events specifically, ask your prospective AV partner: “Does your lead technician hold a CTS certification?” If the answer is no — or a vague “our team is experienced” without specifics — that is your first red flag.
2. Verify Experience With Association-Specific Requirements
Association events are not like corporate retreats or hotel galas. They have unique technical requirements that general AV companies may never have encountered:
- Delegate voting systems for House of Delegates proceedings, bylaws amendments, and board elections
- CEU session tracking for continuing education credit compliance
- Parliamentary procedure support — the AV team needs to understand when mics get cut and when they stay live
- Simultaneous multi-room management for concurrent breakout sessions
- Exhibit hall AV for trade show floors running alongside the conference
Ask your AV candidates directly: “How many association annual meetings have you produced?” and “Do you offer electronic delegate voting integration?” A company that produces 50 weddings a year and 2 association events is very different from one that specializes in the association market.
3. Ask About National Travel Capability
Many association events rotate cities each year to spread geographic access to members. Your AV partner needs to travel with you — not hand you off to a local subcontractor who does not know your event.
The best independent AV companies for associations maintain a core traveling team that knows your production, your speakers, your flow, and your standards. They show up in Chicago knowing exactly how you run your general session because they did it with you last year in Nashville.
Ask: “Will the same lead technician who manages our event this year be available next year?” Continuity is enormous. A technician who has worked three of your annual meetings is worth more than a technician who has worked none.
4. Evaluate Hotel In-House vs. Independent AV
Most hotel contracts default to the hotel’s in-house AV company. Many meeting planners do not know they can negotiate to bring their own AV vendor — and that doing so typically saves 30 to 50 percent on comparable setups.
Hotel in-house AV companies exist to generate hotel revenue. Independent AV companies exist to win your repeat business. That alignment of incentives makes a significant difference in service quality, transparency, and cost.
Before signing your hotel contract, ask: “Can we use an outside AV company for all or part of our event?” Many hotels will negotiate this, particularly if you are a large group. The savings often pay for upgrades that transform your production quality.
5. Request a Site-Specific Proposal, Not a Template
Every major convention center and hotel has different rigging points, power distribution infrastructure, room acoustics, and loading dock logistics. A serious AV partner will want to know your specific venue and conference layout before providing a proposal.
If you receive a quote in under 24 hours with no questions asked, it is either a template or you are being overcharged with a large contingency built in. A credible AV partner asks about your room dimensions, ceiling height, attendee count per room, stage configuration, and hybrid streaming requirements before they put numbers on paper.

- No experience with delegate voting or parliamentary procedure
- Template quotes with no venue-specific questions
- No dedicated point of contact for your event — different person every call
- Subcontracted local crews for every market with no core traveling team
